With the majority of the UK now facing lockdown, employees are remotely working all over the country. For many used to the traditional workplace, working from home can be a big adjustment. We’ve put together our tips to keep the workplace sense of community alive in these unprecedented times.
Keep Office Traditions Alive
No matter how small it may seem, keeping those office traditions going can help maintain that office culture and sense of community. Before mass remote working began, Mobliciti always opened up the drink’s fridge every Friday afternoon for office drinks. This is one of the traditions that we’re keeping going with Virtual Drinks Friday!
As many of the team, who are able to, are joining us via a Zoom call at the end of each Friday with a drink in our hand. It’s a great opportunity to discuss the week, as well as having a catch up with colleagues outside of your department.
Whereas the number of people attending our physical Drinks Friday would fluctuate massively due to many working from home or being out of the office with customers, with all our users now based at home, there are ironically much more people joining each week than normal.
As everyone makes additional efforts to stay in touch and keep updated, we’re seeing unexpected benefits of having mini-company updates on a weekly basis.
Video Call Wherever Possible
Working from home can be a big change of pace for those used to the busy office or frequent client meetings. Whilst it will always take some time to adjust, minimise the feeling of isolation by encouraging frequent video calls and updates. Seeing a friendly face will boost morale and help maintain the sense of still being part of the corporate team.
Using a video collaboration tool like Zoom is a great option as it’s simple to use so doesn’t require training for those who are unfamiliar with regularly using video calls. With Zoom, our internal teams have been provided with a tool which enables them to take the initiative to stay connected – our technical team is holding virtual coffee mornings every day over Zoom!
Stay in Touch
With the majority of businesses now working from home, it’s becoming increasingly clear to them that email isn’t always the most practical method of maintaining contact with colleagues. Whilst email as a form of communication isn’t going anywhere (124.5 billion business emails were sent daily in 2019!), workers need a more convenient form of day-to-day internal communication.
Using a specific workplace collaboration such as Microsoft Teams means that employees can instant message, share files and more all from one centralised platform. Plus, Teams has a Zoom integration, creating a more user-friendly workspace.
Share the Important Details
When it comes to communicating via email or messaging services, it can sometimes be very to-the-point and loses the human element. Using a workplace social platform can keep a fun dialogue open, with people sharing day-to-day parts of their new remote working lives. Using a platform like Yammer ensures that any information is only shared privately within the company. Users can share everything from challenges they’re facing, to creating polls and asking questions, even sharing photos of their new work from home colleagues – their pets! It’s a fun and engaging way of bringing the workforce together.
It’s also worth noting that it’s important to encourage staff to use the collaboration tools provided by the company and avoid using Shadow IT such as WhatsApp. Not only does this ensure that staff are following company policy and assist auditing, but it can also significantly increase staff productivity. Users don’t need to be constantly checking multiple messaging tools to find a work-related notification. This will also mean they don’t miss any important work-related messages.
